The new Uni-ID

1. General information about your Uni-ID

1.1. What is the Uni-ID and why do I need it?

The "Uni-ID" is a unique identification number that allows access to university-wide IT services via the University Computer Center (URZ) as well as to the so-called “Landesdienste” for all universities in Baden-Württemberg provided by the Karlsruher Institut für Technologie (KIT).

The Uni-ID consists of an individual combination of letters and numbers according to the scheme “ab123”. It is your personal ID/login and is not transferable. In the future, the Uni-ID will be linked to an employee identification card (“Mitarbeiterausweis”), providing additional services.

As a long-term goal, the Uni-ID will replace the different URZ accounts (“Benutzerkennung”, “Projektnummer”). For the time being, the Uni-ID coexists in parallel to the existing accounts.

The Uni-ID consists of two parts:

  1. Your account: ab123
  2. Your e-mail address: ab123@uni-heidelberg.de (an e-mail alias: “givenname.surname@uni-heidelberg.de” (eg. “john.doe@uni-heidelberg.de”) is recommended)

1.2. Why do I need the e-mail address <>@uni-heidelberg.de?

This e-mail-address is important because information send by the Rector’s Office or the University Administration will only be sent to this address. Furthermore, the Uni-ID and the linked email-address is part of the federal identity management of Baden-Württemberg (bwIdM: Föderatives Identity Management Baden-Württemberg, see http://www.rz.uni-freiburg.de/projekte/bwidm (de)).

As most of the university staff already has an email address, you might want to forward your e-mails from the new Uni-ID’s address to the address you are actually using.

1.3. What happens to my existing accounts at Heidelberg University?

For the time being, the existing accounts will remain untouched. Please continue to use them for existing services (e.g. SharePoint, Eduroam etc.). The Uni-ID is, at the moment, only an additional account that can be used for the new “Landesdienste” (eg. for bwSync&Share) See: https://bwsyncandshare.lsdf.kit.edu/login (de)

2. How do I use my Uni-ID?

2.1. Step 1: Activate your Uni-ID

To use your Uni-ID you first have to activate it by using this link: https://www.urz.uni-heidelberg.de/cgi-bin/id/uni_id_mit_activate.php (de)

2.2. Step 2: Create an alias "givenname.lastname@uni-heidelberg.de"

It is recommended to create a natural name alias for public use, e.g.:

E-mail address assigned to your Uni-ID: ab123@uni-heidelberg.de

Recommended alias: givenname.lastname@uni-heidelberg.de or john.doe@uni-heidelberg.de

E-mails to “givenname.lastname@uni-heidelberg.de” will automatically be delivered to the same mailbox as “ab123@uni-heidelberg.de”, so that you can use the natural e-mail-address “givenname.lastname@uni-heidelberg.de” on your website or business card.

2.3. Step 3: Set up a mail-forward to your ZO e-mail

The Uni-ID includes your new central e-mail address (e.g. ab123@uni-heidelberg.de). If you already have an e-mail address at Heidelberg University and want to forward the mail from your new Uni-ID address, please follow this link:
